Terms & Conditions
These Terms & Conditions (“Agreement”) set out the terms under which Garden Party People (“we,” “us,” “our”) provides marquee hire, outdoor catering, and mobile bar services to the client (“you,” “your,” “the Client”). By making a booking, you acknowledge that you have read, understood, and agreed to these terms.
- Booking & Payment
1.1 Deposit & Payment Schedule
A 20% non-refundable deposit is required to confirm your booking. The remaining balance is due within 7 days before the event unless otherwise agreed in writing.
If full payment is not received on time, we reserve the right to cancel your booking and retain any payments made.
Any additional costs incurred on the day (e.g. extra hire time, additional guests, last-minute changes) must be settled before service is provided.
1.2 Payment Methods
We accept bank transfers, debit/credit card payments, and other agreed payment methods.
All payments must be made in GBP (£).
Any bank charges or transaction fees are the responsibility of the Client.
- Cancellation & Refunds
2.1 Client Cancellations
Deposits are non-refundable under all circumstances.
If you cancel more than 30 days before the event, we will refund any balance paid (excluding the deposit).
If you cancel less than 30 days before the event, you will be liable for 100% of the total cost, and no refunds will be issued.
2.2 Supplier Cancellations
In the unlikely event that we need to cancel due to circumstances beyond our control (e.g. force majeure, extreme weather, government restrictions), we will offer to reschedule or provide a partial refund at our discretion.
- Marquee Hire
3.1 Setup & Dismantling
We will set up the marquee on an agreed date before the event and dismantle it after the event. The exact timings will be confirmed closer to the date.
If access to the venue is restricted or delayed, additional charges may apply.
If you are not present during setup, you must provide clear written instructions regarding the placement of the marquee.
3.2 Venue & Ground Conditions
You must ensure that the ground is level, accessible, and suitable for marquee installation.
We are not responsible for any damage to underground pipes, cables, or garden features caused during setup unless prior notice of their locations was provided.
3.3 Use & Care of Marquee
Once installed, marquees must not be moved by the Client.
Any damage, vandalism, or loss caused by guests or third parties will result in full repair/replacement costs being charged to the Client.
Open flames, smoking, and heaters not supplied by us are strictly prohibited inside the marquee.
3.4 Weather Conditions
Our marquees are designed for temporary use and are not suitable for extreme weather conditions (e.g. high winds above 40mph, heavy snowfall, or flooding).
In severe weather, we reserve the right to delay setup or dismantle the marquee for safety reasons. No refunds will be issued in such cases.
- Outdoor Catering
4.1 Menu & Dietary Requirements
Final menu selections must be confirmed at least 7 days before the event.
Final guest numbers must be confirmed at least 7 days before the event.
Allergen information must be provided in advance. While we take precautions, we cannot guarantee food is free from allergens.
4.2 Serving & Food Safety
Catering will be provided as a buffet or table service, as agreed at booking.
Once food has been served, we are not responsible for food safety beyond the agreed service time.
Any leftovers should be consumed or discarded within 2 hours in accordance with UK Food Standards Agency (FSA) guidelines.
4.3 Equipment & Clean-up
We provide disposable cutlery, plates, and napkins unless crockery is requested at an additional charge.
We will clean up our catering area, but the Client is responsible for general event waste disposal.
- Mobile Bar Services
5.1 Licensing & Alcohol Policy
Our mobile bar services operate under a Temporary Event Notice (TEN), legally permitting us to sell alcohol.
Guests are NOT permitted to bring or consume their own alcohol while our bar service is in operation. Any violation may result ceasing service immediately.
5.2 Responsible Service of Alcohol
We operate a Challenge 25 policy – guests appearing under 25 must provide valid ID.
We reserve the right to refuse service to intoxicated guests or anyone behaving inappropriately.
The Client is responsible for ensuring guests drink responsibly and arrange safe transport home.
5.3 Damage & Liability
The Client is liable for any damage to bar equipment, glassware, or stock caused by guests.
We are not responsible for any injury or accidents caused by excessive alcohol consumption.
- Health & Safety
The Client must ensure that safe and clear access is provided for marquee, catering, and bar setup.
Children must be supervised at all times near equipment, cooking areas, and the bar.
We comply with all UK Health & Safety Regulations and will conduct a risk assessment if required.
- Insurance & Liability
7.1 Public Liability Insurance
We hold Public Liability Insurance, covering accidents or damages caused by our staff or equipment.
We are not liable for any injuries, damages, or losses resulting from misuse of our equipment or failure to follow safety instructions.
7.2 Client Responsibilities
The Client is responsible for event insurance, if required.
The Client is liable for any loss or damage to their own venue/property.
- Damage & Loss
The Client must return all rented equipment in its original condition.
Any missing, damaged, or broken items will be charged at full replacement cost.
We are not responsible for loss or damage to Client or guest belongings.
- Complaints & Disputes
Any concerns must be raised immediately during the event for resolution.
Complaints made after the event will be reviewed but do not guarantee a refund.
Any disputes will be resolved in accordance with UK law.
- Governing Law
These Terms & Conditions are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of English courts.
